Notification settings
LogiFlow notifies users about key events in logistics, finance, billing and security. Notifications arrive through two channels:
- In the system (in-app) — the bell icon in the interface, the list of unread items.
- By email — messages sent to the address of the user's account.
Where they are configured
There are two levels of settings:
- Personal settings (any user): section Settings → Users and system → Notifications. Here everyone enables/disables channels per notification type for themselves.
- Corporate routing (administrator and head): on the same page the administrator additionally configures which roles each notification type is sent to within the company.
Editing email templates (subject/body), configuring timers and deduplication, and sending a test email are available only to the platform administrator (the superuser). The company's administrator and head manage enabling channels and routing by roles.
Which notification types exist
Notification types are grouped into categories. Below are the actual types of the system.
Logistics
| Type | Event |
|---|---|
| New request | A request has been created |
| Request status change | The status of a request has changed |
| New shipment | A shipment has been created |
| Shipment status change | The status of a shipment has changed |
| Shipment delivered | The shipment has reached the recipient |
| Shipment is delayed | A delay has been recorded |
Finance
| Type | Event |
|---|---|
| New bill | A bill has been created |
| Bill paid | The bill has been moved to paid |
| Overdue bill | The bill is overdue |
| Payment received | A payment has arrived |
| Negative counterparty balance | The balance has gone negative |
System and security
| Type | Event |
|---|---|
| Welcome | A new user has registered |
| Password changed | The password has been changed in the profile (critical type); not sent after recovery or setting the password by link |
| User invitation | An invitation has been sent to a user |
| Maintenance | An announcement about maintenance (critical type) |
| Announcement | A system announcement |
| Security alert | A security event (critical type) |
| New edition of legal documents | A new edition of LogiFlow's contractual documents has been published: the effective date, links, and whether it has to be accepted again at sign-in. Sent to the administrator and the head on the day of publication (critical type) |
Billing and subscription
More than twenty types: the trial period, charges and auto-renewal, the grace period, the pause, contract termination and data deletion, balance top-ups, plan changes, staff and storage limits, data export. By default they go to the administrator and the head; about half of them are critical. The full list with when each is sent — Billing → Notifications.
There are also types for the Kontur.Logistics integration.
The system has no separate notifications for "a new file has been uploaded", "a new comment" or "a task has been assigned". If you need to track such events, use the activity log or discuss a customization with technical support.
Where to read notifications: the bell and the "Notifications" page
Notifications that have arrived live in two places, and both show the same thing — just at a different depth.
The bell in the top bar
The bell icon at the top right with a red counter of unread notifications (more than 99 is shown as "99+"). Clicking it opens a panel with the latest notifications:
- clicking a notification marks it as read;
- the "Mark all as read" («Прочитать все») button in the panel header clears the counter entirely (it appears only when there are unread notifications);
- the "Show all notifications" («Показать все уведомления») link at the bottom leads to the full page.
If an exclamation mark appears on the bell instead of the counter, the notifications failed to load; refresh the page.
The "Notifications" page
The full list with filters and pagination. It opens at /notifications — most easily from the bell panel. It is available to all roles.
What it has:
| Element | What it does |
|---|---|
| Counter under the heading | How many notifications there are in total, taking the current filters into account |
| "Unread" («Непрочитанные») / "All" («Все») button | Switches the list between unread and all notifications. The label shows what it will switch to |
| "Mark all as read" («Прочитать все») button | Marks all notifications as read at once |
| Row of categories | All categories · Billing · Logistics · Finance · System («Все категории · Биллинг · Логистика · Финансы · Система») — a filter by one category at a time |
| Tick on a card | Marks a single notification as read (only on unread ones) |
| Per page: 20 / 50 / 100 («По странице») | Page size; 20 by default |
Unread notifications are highlighted; each notification shows its category and time: today's ones as "5 minutes ago", those from the last week as the day of the week with the time, older ones as the full date.
Notifications cannot be deleted one by one — they can only be marked as read. Read notifications remain in the list and are available via the "All" filter.
The category filter and the "unread only" filter work together: by choosing "Finance" and "Unread" you will see unread financial notifications. To reset the category, use the "All categories" button.
Personal notification settings
Personal settings are open to any role: the Settings → Users and system → Notifications tab is available to the administrator, the head, the manager, the warehouse worker and the client. A non-administrator sees only their own channels on it — the routing matrix by roles is not shown to them.
For each type every user can, for themselves:
- Enable/disable the "In app" channel (in-app).
- Enable/disable the "Email" channel.
Emails are sent to the account email. You cannot specify a separate "email for notifications only". To change the delivery address, change the email in your profile.
Critical types cannot be disabled
Some types are marked as critical (for example, "Password changed", "Security alert", "New edition of legal documents", "Subscription suspended", "Contract terminated"). For them email is delivered always — such notifications cannot be disabled, the toggle will be locked and a corresponding mark is displayed next to it.
Unsubscribing right from an email
Emails of all types except critical ones can be unsubscribed from — with the mail service's button (usually "Unsubscribe"):
- Gmail and Yandex Mail unsubscribe you at once;
- other mail apps open a LogiFlow page — click "Unsubscribe" («Отписаться») there. You do not need to sign in to LogiFlow.
Unsubscribing turns off emails of this type only — the same as the "Email" toggle in the personal settings. Notifications in LogiFlow (the bell) keep coming.
To get the emails back: Settings → Users and system → Notifications, turn "Email" on for the type.
Critical emails cannot be unsubscribed from — they have no unsubscribe option; instead of the settings link, the end of such an email says: "This is a mandatory notification — it cannot be turned off." («Это обязательное уведомление — его нельзя отключить.»)
Corporate routing (administrator/head)
For each notification type the company's administrator and head configure which roles it is addressed to. Available recipients:
- Management and administrators —
admin/boss. - Managers —
manager(including the client's responsible manager). - Warehouse —
warehouse. - Clients —
client. - Target recipient — the specific user related to the event.
Routing can be changed and, if necessary, reset to the default values.
If some notification type is not needed by part of the roles, disable the route for them. For example, a warehouse worker does not need notifications about financial events.
Email templates (platform administrator)
Every notification type has an email template. Editing templates is available to the platform administrator and includes:
- editing the email subject;
- editing the email body (HTML with data substitution, a block builder and a manual HTML editor);
- a preview on sample data;
- the list of available variables for substitution.
After changing a template it can be checked with the "Send test" button — the email will arrive at the selected address.
Timers and deduplication (platform administrator)
For notification types, timer triggers and deduplication are configured — so that the same thing is not sent too often (for example, warnings about approaching a limit are sent at the 80/90/100 % thresholds, and not on every change). These settings are defined by the platform administrator.
For the limits, the settings window shows a "How notifications work" hint. The user limit warning repeats no more often than the configured interval while a threshold holds, and after 100 % — no more than the configured number of times. For storage, "Storage is full" also arrives when an upload is rejected at 90 % full or more, and only the highest level reached is repeated — see Storage for details.
Technically, repeated identical notifications are cut off by an idempotency key — the user does not receive duplicates of the same event.
Mail settings on the server side
For email notifications to be sent, the mail service and the sender address must be configured on the server. This is done by the platform administrator during installation. If emails are not being sent:
- check the recipient's "Spam" folder;
- make sure the user has a correct email in their profile;
- contact technical support if the problem is widespread.
If there are too many notifications
- "My inbox is flooded" — in the personal settings disable the "Email" channel for the types you do not need, or unsubscribe right from the email (details); the "In app" notifications will keep accumulating.
- "The wrong roles receive notifications" — the administrator/head adjusts the routing by roles.
- "I do not receive important notifications" — check "Spam" and the correctness of the email in the profile. Critical types cannot be disabled — if they are missing, the problem is with the mail on the server.
What's next
- Users and permissions — who has which roles and to whom notifications are addressed.
- Print templates — a similar variable substitution mechanism.
- References and settings — other administrator settings.
