Cargo properties in the note

Some of the information in the note is taken not from the trip card but from the cargo description — the place where you enter the places in a request. The logic is simple: the temperature, the hazard and the special requirements are known by the owner of the cargo, not by whoever picks the vehicle. Ice cream travels at −18 regardless of which vehicle carries it.

All three properties are declared in one window: request → "Places breakdown" («Детализация мест») → add or open a place → the "Cargo properties" («Свойства груза») block.

Temperature mode

The "The cargo is carried at a specific temperature" («Груз везут при определённой температуре») checkbox and two limits: not below and not above. Either limit can be left empty — then there is no restriction on that side.

The checkbox is needed precisely because empty fields say nothing: "no mode required" and "forgot to fill it in" would look the same.

There can be many places, but the note has only one mode. The requirements are combined into the strictest window: the lower limit is the highest of the lower limits, the upper limit is the lowest of the upper limits. Three places with the requirements "not above +5", "not below 0" and "from −2 to +8" give "from 0 to +5" in the document.

Incompatible requirements will not get into the note

If after combining the lower limit turns out to be higher than the upper one — ice cream at −18 and flowers at +5 in the same body — the system will warn you, but will not write the mode into the document at all. Any value would be untrue for one of the places.

Such a request is not prohibited: it is up to you to split the cargo across trips or install a partition.

Choosing a vehicle. For temperature-controlled cargo, the transport list includes only vehicles whose body holds the declared window. The range and the body class are specified explicitly in the vehicle card and are not derived from the type: an isothermal body keeps the temperature but does not produce cold, and in summer it will not hold −18 for twelve hours.

An empty range on a vehicle means "unknown", not "will do" — such a vehicle is not offered for temperature-controlled cargo. Treating the unknown as suitable would mean silently sending off a trip with cargo that will spoil.

If there are no suitable vehicles left in the list, the system will say so directly and offer two ways out: specify the range in the vehicle card or enter the registration number manually. A vehicle that has already been selected does not disappear from the list even if it does not fit the mode — otherwise the selection would vanish silently.

If the combination includes a semi-trailer, it is the semi-trailer that holds the mode — the tractor unit is not checked for this.

Dangerous goods

The "A dangerous substance travels in the place" («В месте едет опасное вещество») checkbox and a search in the ADR reference — by UN number or by name.

The substance is selected from the reference, not typed in by hand. Of the seven details the note requires for dangerous goods, two — the classification code and the tunnel restriction code — are known neither to the consignor nor to the dispatcher. These are reference values tied to the substance, and entering them from memory would mean a plausible invention in a legally significant document. The system fills them in from the selected row.

Look for the row, not the number. One UN number corresponds to several rows of the reference: paint (UN 1263) has three — with different packing groups and different codes. That is why the whole row is selected.

The proper shipping name can be filled in from the reference with a button, but check it against your shipping documents: the name is legally significant, and the system will not fill it in silently.

What is checked before signing
  • The checkbox is ticked but no substance is selected — the place cannot be saved. Otherwise the statement "there is dangerous cargo here" would be lost, and the document would say nothing about it.
  • Dangerous goods are declared, but the driver has no valid ADR certificate — the note will not be sent. Carrying them without it is not allowed: the trip will be turned back at the very first checkpoint.
  • The hazard is declared on a place, but the goods item has an HS code (ТН ВЭД) — the system will ask you to choose. The note will contain the description by places; otherwise the hazard information would not get into the document at all, and the HS code would be lost.

Instructions on compliance with carriage rules

The "Instructions on carriage rules" («Указания по нормам перевозки») field in the same block: phytosanitary, sanitary, quarantine, customs and other legal requirements. For example, "the cargo is subject to veterinary control" or "quarantine regime, certificate KS-77".

The field applies to the whole request, not to a single place, and this is not a simplification: the note has only one such field for the whole document, and texts, unlike temperature windows, cannot be combined. If a requirement concerns specific places, name them directly in the text: "Places 2-3: quarantine regime".

If the field is empty, the document will contain the word "None" («Отсутствуют») — this is what the order prescribes when there are no instructions.

If there are several requests on the leg

Their instructions are joined into one field. The format limit is 2000 characters; if the texts together are longer, the system will stop the signing and ask you to shorten them. They cannot be truncated silently: part of a requirement would disappear from the document.

Seals

Seal numbers are specified on the carriage leg, not on the cargo place: a seal is attached to the body, not to a box.

Seals are declared only before T1 is signed

This is the only place in all the titles of the note where a seal number can be specified. After the first title is signed the section is frozen, and seals attached later — for example, when the vehicle is replaced en route — will no longer get into the document.

The same data is printed in the CMR

For international carriage, the same data automatically goes into the CMR print form. The table of boxes 6–12 is filled in row by row from the places of the request: the ADR entries (UN number, name, labels, packing group, tunnel code) go into box 6 "Marks and numbers", the number of places into box 7, the type of packaging into box 8, the name of the cargo into box 9, the HS code of the goods item into box 10, the weight and volume into boxes 11–12; identical places are merged into one row. The instructions on carriage rules and the temperature mode are printed in box 13 "Sender's instructions". Nothing needs to be entered separately. If there are more than six items, the full list of cargo is printed as Annex No. 1 — a second sheet of the same CMR, with a reference in box 5 "Documents attached".

When to fill all this in

Before the first title is signed. The section with the cargo description is frozen after signing: it can be changed only by correcting the title or by issuing a new note for the leg — see Corrections and exceptions.

The system checks completeness in advance and tells you what is missing before signing — so that a rejection does not arrive after you have already applied your electronic signature.
