Getting ready to work with ETrN

The setup is done once. After that, consignment notes are drawn up directly in shipments and requests.

Everything described on this page lives in Settings → Integrations → Kontur.Logistics ("Настройки → Интеграции → Контур.Логистика").

Who has access to the section

Connections, signatories and powers of attorney are set up by the administrator or the head of the company. A manager also sees the section, but only the "Электронная подпись" (Electronic signature) tab — the setup of their own workstation. Warehouse staff and clients are not shown the section at all.

The "Подключения" (Connections) tab.

Work with electronic consignment notes starts with connecting your legal entity to Kontur.Logistics. This requires an access key issued by Kontur — you can obtain it in the Kontur integrator account or through Kontur.Logistics support.

The order is as follows:

  1. Pick the legal entity from the list of your organisations.
  2. Enter the key you were issued.
  3. Click "Подключить" (Connect).
  4. Run "Проверить связь" (Test connection) — this confirms that the key is valid and that Kontur responds.
One key — one legal entity

If you have several organisations, each is connected separately with its own key. A single key does not serve two legal entities.

For the connection itself it is enough that the legal entity has its TIN (INN, the Russian taxpayer identification number) filled in — the system uses it to find the organisation in Kontur's directory. If there are several organisations with that TIN, the KPP (tax registration reason code) will be needed as well.

The remaining details — OGRN (state registration number) and address — are needed not for the connection but for the first consignment note: they go into the document itself. There is no need to check them in advance: before signing, the system will itself show a list of what is missing.

A connection can be disconnected or temporarily suspended from the menu in the connection row.

Step 2. Set up the signatories

The "Подписанты" (Signatories) tab.

A signatory is an employee who signs consignment notes on behalf of the legal entity.

A signatory is not typed in by hand but picked from the employees already present in the system. If the person you need is not on the list, first add them under Settings → Users. The employee must have their surname, first name and job title filled in — if something is missing, the form will say so and offer to fill it in right there.

Next you choose the basis of authority — the document under which the person signs:

BasisWhen to choose it
By the articles of associationsigned by the head of the company
By an orderauthority granted by an internal order
By a power of attorneyan ordinary paper power of attorney
By an MCHDa machine-readable power of attorney, see step 3

The signing certificate is not specified here — it is not in the form at all. The system will remember the certificate by itself once the employee signs their first title, and from then on it will check every subsequent signature against it. If a different certificate is used to sign, the title will be rejected and you will be told about it.

After a certificate is reissued, click "Открепить сертификат" (Detach certificate)

An electronic signature is reissued roughly once a year, and the new certificate has different data. The old pinned one will stop matching, and signatures will start being rejected.

One button fixes this: open the "Подписанты" (Signatories) tab, find the employee's row and click "Открепить сертификат" (Detach certificate). The next signature will pin the new one. The signing history is preserved, and there is no need to add the employee again.

The button is available to the administrator and the head of the company.

There can be several signatories

If different employees sign consignment notes — the head of the company and a logistics manager, for example — add each of them. Who signed a particular title stays in the note's history.

Step 3. Register a power of attorney (if the signer is not the head of the company)

The "МЧД" (MCHD) tab.

When a consignment note is signed by an employee rather than by the head of the company, a machine-readable power of attorney (MCHD) is required.

The power of attorney is not created in LogiFlow. It is drawn up in the service of the Russian Federal Tax Service (FNS) or at an EDI operator, signed with the electronic signature of the head of the company, and assigned a number in the FNS register. In LogiFlow such a power of attorney is only registered, so that the system attaches it to the employee's signature.

What you will need:

  • the power of attorney number in the FNS register — this is not a short number but a long identifier such as 2f7a1c48-0b3e-4a91-9d02-5c6e8b1f3a70;
  • who issued it — picked from the signatories already created, which is why the head of the company must be added earlier, in step 2;
  • dates — of issue and of expiry;
  • who it is issued to — the employee's full name and TIN (INN).
Keep an eye on the validity period

A power of attorney has an expiry date. Once it passes, signing under it will fail — the power of attorney has to be reissued and registered again.

Foreign participants

A party to a consignment note may be a foreign company or a foreign citizen. They have no Russian TIN, so they are entered into the note differently — not by TIN, but by country and status.

To do this, turn off the "Резидент РФ" (Russian resident) toggle in the counterparty or client record. The fields you need then appear: country (any except Russia) and status — for a company, its name or identifier; for an individual, their full name and identity document.

Without this data the note cannot be sent: the system will tell you in advance what is missing.

Step 4. Set up the signatory's workstation

The "Электронная подпись" (Electronic signature) tab.

This step is done by everyone who is going to sign, on their own computer. For details see the Electronic signature page.

Readiness check

Everything is set up if:

  • the legal entity has a connection and the connection test passes;
  • at least one signatory has been created;
  • if the signer is not the head of the company — a valid power of attorney has been registered;
  • on the signatory's computer, the "Электронная подпись" (Electronic signature) tab shows that everything is installed.

After that, work with consignment notes will appear in shipments and requests — see How a consignment note progresses.
